Assistant Project Manager

The Assistant Project Manager must have a minimum of 2 years’ experience as an assistant. In collaboration with the Project Managers, he/she must provide the necessary support for the execution of administrative tasks and communications required for the completion of construction projects according to procedures and within established deadlines.

 

RESPONSIBILITIES

Project planning and startup

  • Keep subcontractor contacts up to date
  • Oversee the process of opening construction sites

Administrative support for project progress

  • Prepare and record purchase orders and contracts associated with project costs
  • Manage monthly billing requests with subcontractors
  • Answer incoming calls and take detailed messages
  • Format documents according to MONTONI Group standards, departmental standards and project-specific standards, and perform various clerical tasks (purchase orders, letters, e-mails, correspondence, filing, archiving, meeting minutes, reports, transmission slips, etc.)
  • Be responsible for the entire site closure process, including preparation of technical manuals given to clients at the end of projects
  • Coordinate the liaison between the administrative team, construction sites and subcontractors
  • Perform any other related duties deemed relevant to the position

Relations

  • Maintain collaborative links with the Construction Project Manager, the Estimating department, the Finance department, the Legal department and senior management
  • Maintain a professional and trustworthy relationship with professionals, subcontractors, suppliers and occasionally with clients

 

QUALIFICATIONS

  • DEC in administration or an equivalent combination of training and experience
  • More than 3 years of relevant experience related to construction project administration in a fast-paced, high-pressure work environment
  • Excellent command of the Office suite
  • Bilingualism (French/English) an asset
  • Strong communication and writing skills
